Create a Zap
A Zap is a set of instructions that automate the transfer of information between two or more apps. It consists of a “trigger” and one or more “actions.” A trigger is an event in one app that initiates the automation process, and the actions are the tasks that you want to perform automatically in response to that trigger.
A Zap for automating email can be set up to do the following:
Trigger: When a new message is in the CustomGPT.ai chatbot asked by the user.
Action: Send an Email (containing an answer) to the customer.
To create a Zap you need to follow the steps into your Zapier account.
- In the Zapier interface click on Dashboard.

- Click on the Trigger and Action section below.

Choose the Trigger Apps
For the trigger app search for CustomGPT.ai from the search bar. And click on CustomGPT.ai.

Setup the Trigger Event
Choose the specific event you want to define for automation. To set up a trigger using CustomGPT.ai you have to connect your CustomGPT.ai account using the RAG API key.

We want to send automated emails whenever there is a new customer query, therefore select new message as Event. So whenever an Event (New Message) occurs the the trigger will be activated to act such as sending an email (containing the answer).

After defining the event click on Continue.

Test the Trigger
Give your Project (CustomGPT.ai chatbot) Name and Continue.

Now test the trigger to see how it will work.

As you can see the question I asked the CustomGPT.ai chatbot is showing along with its responses. It shows that we have successfully created the trigger. Now proceed and click on Continue.

After creating the trigger, now define the action you want to perform.
Choose the Action App
Now, we will choose the app where we want to automate the email. Search and select the Email Service Provider. I am choosing Email by Zapier.

Setup the Action Event
You can see in the action event box the email app is shown. Now select the event “Send Onboard Email” from the bar. Click on Continue.

Now provide the specific details such as the email where you want to send a message, subject, body, and Name.

I am writing here my email, in the subject, there will be a query I will ask the custom chatbot, to select from the Subject box. In the body, there will be my query and the chatbot’s answer, you can select it from the Body field.

Now click on Continue and the event of the Action app will be set up.
Test the Action App
Now test the email app and check the details like how emails will be sent.

After testing now I will Publish the Zap. Our Zap will be published and ready to perform an action we defined.

Test the Zap
I will ask my CustomGPT.ai bot a question and see how an email containing answers to my query will be automatically sent.

I asked the above question and whenever an event of a new message in the chatbot occurs it will activate the trigger to perform action and send an email message to my Gmail account.

Monitor the Zap
Use the Zapier dashboard to monitor the performance of your Zap. If there are any issues, you can check logs and error messages for troubleshooting.
